Privacy Policy

Russell is an operating surface for small businesses — a chief-of-staff that works across your tools so the things that don't need you stay off your plate.
This policy explains what information Russell ("Russell," "we," "us") collects, how we use and protect it, and the choices you have. It covers the website at russell.team and the Russell application at russell.russ.team ("the Service"), including data we access when you connect third-party accounts such as Google (Gmail) and Intuit (QuickBooks Online).
Information we collect
Information you provide
- Account & workspace data — your name, email address, organization, team members, and the messages, tasks, and documents you create in Russell.
- Support and communications — messages you send us.
Information from connected services (only what you authorize)
- Google / Gmail. If you connect a Google account, we access your Gmail data under the scopes you grant — reading messages and metadata, and sending messages you approve — so Russell can triage your inbox and draft and send mail on your behalf.
- Intuit / QuickBooks Online. If you connect QuickBooks, we access the accounting data you authorize (under the
com.intuit.quickbooks.accounting scope) and the company identifier (realmId) for that connection.
- Other integrations you choose to connect operate the same way — access is limited to the scopes you grant and revocable at any time.
Information collected automatically
- Basic usage and device/log data (e.g., IP address, browser type, timestamps) to operate, secure, and improve the Service.
Google API Services — Limited Use
Russell's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Gmail data for advertising, we do not sell it, and we do not allow humans to read it except where you explicitly request support, where required for security or to comply with law, or where the data has been aggregated and anonymized.
How we use information
- To provide and operate the Service — letting Russell and its agents read, organize, draft, and (with your approval) act on your behalf across your connected tools.
- To secure the Service, prevent abuse, and meet legal obligations.
- To support you and improve the product.
We do not sell your personal information or the data we access from connected services, and we do not use it for advertising or to train general-purpose models.
The human stays in control
Russell stages outbound communications (email, calendar, and other external actions) as drafts. Nothing is sent or filed on your behalf until you approve it. You can disconnect any integration at any time, which revokes Russell's ongoing access to that service.
How we store and protect information
- Encryption. Connection credentials and tokens are encrypted at rest (AES-256-GCM) and held server-side. Secrets are never exposed to the browser or to model prompts.
- Tenant isolation. Every customer's data is scoped to that customer and isolated at the data layer.
- Access controls. Access to production data is restricted and audited.
Sub-processors
We use a small set of trusted providers to run the Service. They process data only to provide their service to us:
- Google LLC — Gmail/Google integrations you connect.
- Intuit Inc. — QuickBooks Online integrations you connect.
- Amazon Web Services — transactional email delivery (SES) and infrastructure.
- Railway — application hosting.
- Anthropic — large-language-model processing that powers Russell's agents.
Data retention and deletion
We retain your information for as long as your account is active or as needed to provide the Service. You can disconnect integrations at any time and request deletion of your account and associated data by contacting us; we will delete it except where retention is required by law.
Your rights and choices
- Access, correct, or delete your personal information.
- Disconnect any connected service, revoking ongoing access. You can also revoke Russell's access from your Google account permissions or your Intuit account.
- Object to or restrict certain processing, subject to applicable law.
International users
Russell operates in the United States. If you use the Service from outside the U.S., your information will be processed in the U.S.
Children
Russell is a business product and is not directed to children under 16, and we do not knowingly collect their information.
Changes to this policy
We may update this policy from time to time. We will revise the "Last updated" date above and, for material changes, provide additional notice.
